Synopsis

Users can forward email messages out of NetGovern Search. There are a couple of configuration options to be aware of.

Solution

Configuring SMTP server

During initial deployment, the deployment wizard asks for an SMTP server address. When a user forwards email out of NetGovern Search, this is the server the software will use to relay the message. You may choose to use your email server for this (eg. Exchange or Groupwise), your NetGovern Secure messaging gateway, or some other SMTP server. This setting can be configured with an IP address or a hostname (FQDN).

If the IP address or hostname needs to be changed, the SMTP server setting can be modified in the xgwxmlv.cfg file located on the NetGovern Search server(s) at C:\Program Files (x86)\Messaging Architects\RemoteProvider. Open this file with a text editor and locate the section:

SMTP.server=192.168.100.11

SMTP.port=25

To disable the option to forward emails, simply remove the IP address or hostname and port number. The Forward icon will no longer appear in NetGovern Search.

To reload the configuration restart the Client Access service on the NetGovern Search server(s). Note that restarting this service will terminate all currently active user sessions.

The SMTP server specified may need to be configured to allow unauthenticated relay. A search of the web will quickly find instructions for doing this in Exchange or Groupwise.  If using NetGovern Secure for relay, add the IP address of the NetGovern Search server(s) to the Allowed Hosts of the SMTP Lists agent located in the administration console at SMTP > Agents > Lists.

Forward to others

By default users can only forward email to their own email address. This means a user who wants to forward an email from their archive to another address must first forward it to themselves. The message received by the user and the subsequent forward to another address will be captured when the users mailbox is archived, providing a trail in the archive of that activity.

To allow users to forward email from their archive to any address, edit the xgwxmlv.cfg file and locate the section:

#analytics.allowForwardToOther=false

Uncomment this line and modify this setting to be:

analytics.allowForwardToOther=true

Save the file and restart the Client Access service to reload the configuration.
