Version 6.3 

New Branding

For the last few years, you’ve known us as Netmail—a name which reflected our collective passion for email governance: security, archiving, encryption, discovery, storage, attachment management, & more. Over the last 18 months, we’ve expanded our solution set well beyond email and after significant customer and partner feedback, we realized that the Netmail name was no longer representative of our technology stack. So as we continue to expand to address Information Governance more broadly, we’ll be changing our name to NetGovern.

Introducing NetGovern

With this release, we introduce the new NetGovern branding to the product. As you can see, we have chosen an entire new color scheme for our UI; the color is called Ultra Violet which is Pantone’s color of the year.

Here are the main changes you'll see:

Archive Access Portal: The Netmail Search web page is now NetGovern Search.

Login: If you are a case manager or auditor, after logging in you are usually prompted for the role in which you want to proceed. This prompt has now changed to be graphical, as opposed to a pick-list style—see Starting NetGovern Search.

If you don't have any additional roles assigned to your account, you will be automatically directed to your own archives as before.

Outlook Add-in

Thematic changes also extend to the end user software. If your organization has deployed the Outlook Add-in and it is updated to version 6.3, end users will receive new NetGovern graphics to match the back-end.

New Features

  • Auto-Save: You can enable Auto-Save to automatically save search criteria, tags, and preferences—see Enabling Auto-Save.
  • Role-Based Access: After logging in to NetGovern Search, various tools and workflows are now available to users depending on their role in your organization. So now when a user on your legal team logs in, they will have access to all the eDiscovery tools; when a user on your compliance or security team logs in, they will have all the compliance, audit, and retraction tools at their fingertips—see Roles in eDiscovery and Roles in Data Auditing.
  • Document Preview for Microsoft Office: You can now view documents directly in your browser—see Previewing Documents.
    Support for Over 600 File Formats: This includes all versions of Microsoft Office, Corel, AutoCAD, Adobe, and more.
    Continuous Scrolling: Enjoy infinite scrolling just like in your mailbox in Microsoft Outlook. This replaces pagination in NetGovern Search.
    Next and Previous Buttons: Buttons were added to the message preview in NetGovern Search to allow for scrolling through previews—see How to scroll through previews.
  • Date and Time Format: You can change the date and time format to correspond to the format your organization uses most frequently—see Changing the Date Format and Changing the Time Format.

More New Features

  • When exporting, you can exclude items that have specific tags—see Exporting Documents.
  • In the Outlook Addin, you can disable the Federated Search button.
  • In Advanced Search, you can now search documents by permissions as well as a specific location (path)—see Advanced Document Search.
  • Generate the user list from AD instead of Office 365/Exchange for document access only.
  • We put in place a framework for custom branding our product—see White Labeling.
  • API Orchestration: Forget about a complex tangle of application dependencies, API Orchestration decouples applications from each other for easy scripting for provisioning, configuration, control, status checking, and reporting.

Terminology

The release of version 6.3 brings further definition of the role you play in eDiscovery or compliance. As soon as you log in, you choose which application to use in NetGovern Search.

Here are the names of roles used in NetGovern Search and in the documentation.

 

Bug Fixes

  • Only a single connection pool is used to Office 365, reducing the risk of running out of run spaces.
  • Reattaching a stripped item may sometimes get stuck in a loop.
  • It is now possible preview attachments in NetGovern Search.
  • The quarantine view in NetGovern Search does not include the user name.
  • Spaces are not correctly counted in user names when adding to user lists.
  • When doing proximity searches, stemming does not work.
  • NetGovern Archive backup and restore does not restore policies.
  • Import jobs do not correctly target renamed users.

Bug Fixes 

  • Shared resource access problems while indexing large amount of accounts.
  • Searching using advanced search and message search sometimes returns different results.
  • Jobs sometimes fail if they cannot detect the Exchange version.
  • Jobs sometimes fail to run against groups that contain some users with special characters in their name.
  • In some cases, queries can be sent without the location or user name.

Version 6.2

We are pleased to present 6.2. Please read these release notes for important information about this release and see the full list of issues resolved.
NetGovern 6.2 contains the same core features as previous versions, with complementary new features to better assist partners and customers to secure, control, and optimize data at rest, in use, and in transit.

New Features

NetGovern 6.2 ships with new features for audit managers, audit members, audit reviewers, and NetGovern administrators.

  • Data Audit and Remediation: Audit your various repositories for sensitive information and take action to remediate data.
    Supervisory Reviews: Periodically conduct company-wide data audits based on a custom lexicon. Create random sampling cases according to set parameters, then review, tag appropriately, and generate a case audit report—see Conducting Supervisory Reviews.
    Compliance Reports: Receive regular audit reports with actionable links to review, similar to quarantine reports—see Configure Compliance Audit Report Job.
    Remediation Actions: Quarantine or delete con-compliant documents, or restore documents deemed to be safe back to the mail system—see Remediating Live Mail.
  • Roles: A new reviewer role allows managers to assign documents and email to reviewers with a new simplified reviewer interface. They can tag documents and email, hide reviewed documents and email, and track reviewer progress—see Data Audit Guide | Reviewer.
  • Export to Location: Export archived mail to a location and edit and manipulate the case that is automatically generated—see Exporting to a Location.
  • Support for Egnyte: Perform compliance actions on data from Enterprise File Sharing solution Egnyte, including ACLs.
  • Job Prioritization: File crawler jobs can be prioritized.
  • Inline Previews: Get an instant preview of a selected item in the Document—see Previewing Documents.

The NetGovern documentation site has been updated with content reflecting the new features of version 6.2.

To reflect the change in roles, there is now a separate guide for reviewers called eDiscovery Guide | Reviewer  and Data Audit Guide | Reviewer.
There is a new guide for data audit administrators called Data Audit Administration Guide.
You can now access different versions of the documentation.

Terminology

In the documentation, the names of roles have evolved:


Version 6.1.1.1022 

New Features & Enhancements 

  • Office 365 Theme: has adapted the look and feel of Office 365.
  • Super User: In, you can log in as a super user which gives you administrator privileges.
  • Case Management: Ability to quickly search and sort cases by entering text. For case managers, ability to transfer a selected case to a different case manager—see Transferring Cases.
  • Random Sampling: For FINRA compliance, generate random samples automatically, according to the percentage and interval set—see Random Sampling.
  • Search: A new option in the Search and Advanced Search dialog boxes called Automatically escape reserved index characters (SOLR) lets you use the reserved character tilde (~) at the beginning of a search query when this option is selected.
    Example: ~asd.txt
    If this option is deselected and there is a tilde symbol at the beginning of the query, the search will fail. You can still use the tilde (~) if it is preceded by a character such as the forward slash (\). Your search will still execute correctly.
    Example: \~asd.txt
  • Preferences Menu:
    A new option called View Format lets you customize the display of search results. Options include: automatic, tabular and summary—see Changing the View Format.
    A new option called Autosave lets you automatically save changes to the current case—see Changing the View Format.
  • Search Tab Menu: A new option called Refresh lets you run the indexer to update all data appearing on the Search tab.
  • Filter View: A new filter called Accepted indicates the percentage of messages accepted and not accepted.
  • Folder View: This view has been renamed Locations view in the documentation.
  • Previewing Documents: While previewing a selected document, you can:
    Delete the document.
    Preview the document inline and print its contents—see Previewing Documents.
  • Formats: You can change the format in which data is displayed in the Documents view. Options include: Tabular, Summary, and Automatic. The default format for archives is tabular and for everything else, the default is the summary format—see Changing the View Format.

 Changes

  • Previewing Documents: While previewing documents, the Bottom Pane option is no longer available.
  • Folder View: The item count beside each user account and root folder no longer appears.
  • Themes: The accessibility theme for the interface has been removed, however, the original gray theme still exists as an option.
  • Edit Case Dialog Box: For case managers, the Legal Hold tab has been removed from the Edit Case dialog box. 

Miscellaneous

  • Added the ability, when importing, to include the PST name in the folder name.
  • Improved logout support in Groupwise WebAccess 2014.2.2.
  • Updated spam engine.
  • SyncAB sometimes returns no users when using SOAP.
  • Clarified wording to make it evident that detaching messages based on date criteria acts on the Creation Date. 

Bug Fixes 

  • Index job does not re-attempt connections enough.
  • Cannot migrate a personal folder that was dragged into a shared folder.

Known Issues 

  • When using the Outlook Addin Federated Search, the results from the Exchange mailbox and Netmail Archive are different when using partial searches or the asterisk character (*) for wildcard searches.

  • Ability for unidentified account owners to create folders based on PST naming. 

Bug Fixes 

  • ILM jobs do not successfully process certain accounts that contain over 750000 messages.
  • After Microsoft patch KB4011196/KB4011178, the Outlook add-in no longer loads—see Outlook Add-in Not Working After Wndows Update.
  • Messages injected without a sender field get the wrong owner.
  • Data Provider sometimes does not negotiate SSL.
  • NetGovern Search does not work with Apache 2.4 if using SSO.
  • PST generated by Zarafe do not process completely.
  • Sometimes the 32-bit Outlook add-in gets installed on 64-bit machines.

Known Issues 

  • When searching for a term in the body and subject of a message in an Exchange mailbox, no results are generated if federated search is enabled.
