The Storage tab allows you to specify the paths to the locations where Netmail Archive will archive the selected data from the message store.
Storage Devices allows you to select what type of data storage you want to use with Netmail Archive. Netmail Archive has organic integration into NetApp and Netmail Store. Microsoft Windows file shares can also be used. This release of Netmail Archive includes support for previous versions of Netmail Archive, allowing you to choose a legacy data store.
Selecting Your Storage Device Type
1. Click Add to open the Choose storage device type dialog box.
2. The following options are available for archives that will be generated by Netmail Archive:
- Netmail Store
- File System
3. If you are migrating to Netmail Archive from a version of Netmail’s GWArchive solution, your existing archived data, known as legacy data, can be converted to Netmail Archive format. To create a data store for migrating legacy data, select the Legacy Data checkbox to choose from the following options:
- 3.x (NetApp)
- 3.x (File System)
Important: The Legacy Data option should only be chosen when you are planning to migrate your GWArchive data to the newer Netmail Archive format. This location is intended to provide viewer access to the GWArchive data during your migration, so that you can continue to access both your legacy data and your Netmail Archive data during the entire migration process. No Netmail Archive Jobs, aside from the Legacy Data Conversion option of the Utility Job, should be performed on this location.
4. Click Next to open the Storage Device dialog box. Depending on which type of storage device you have chosen, the Storage Device dialog box will present slightly different options.
5. Under Name, enter the name you have chosen for your storage device.
6. Under Path, enter the following information, based on the data store you have selected:
- Netmail Store: If you have chosen to store your data on an Netmail Store device, your Storage Device dialog box will ask for slightly different information than for the other data store options. For detailed instructions on configuring Netmail Store as your data store, see To configure a Netmail Store data store:.
- NetApp: Enter a UNC path to your NetApp storage device.
- File System: Netmail Archive supports CIFS based access to filesystem shares. Enter the UNC path to the location of your file system share.
7. In the case of Legacy Data migration, enter the following data under Path, based on the legacy data store you have selected:
- 3.x (NetApp): Enter the path to the NetApp device where your 3.x legacy data is stored. If your 3.x legacy data is located on a NetApp device, your Dynamic Data Store and Static Data Store should be located on the same path.
- 3.x (FileSystem): Enter a UNC path to the file system share where your 3.x legacy data is stored.
8. In the Login field, enter the login ID you use to access the device. For example, for a Filesystem device, you should specify a Windows domain account which has access to the specified network share. Enter the username in domain\username format (e.g., mydom/nmarchive).
9. Under Password, enter the password for the user account you specified under the Login field.
10. Click Save to save your changes.
Configuring a Netmail Store Data Store
If you have chosen the Netmail Store option, your Storage Device dialog box will ask for slightly different information than for the other data store options.
1. Under Name, enter the name you have chosen for your Netmail Store device.
2. Under Host, enter the IP address of the server on which you have installed Netmail Store.
3. Under Port, enter the port number that is being used by Netmail Store. Typically, port 80 is used to communicate with Netmail Store.
4. Under Max nodes, enter the number of nodes of Netmail Store that you have installed.
5. Under Failover Hosts, click Add to enter the ip address of any failover hosts configured.
6. Click Save to save your changes.
Note: After saving your data store, you can click Test on the Locations tab to validate the information you provided about your data store.
Storage Locations allows you to specify the actual location of your archives. With Netmail Archive, you can have multiple storage locations for your archives, one for each set of archive data. For example you may have separate locations for the archive data of each department in your organization. Each of these storage locations has within it components for message, attachment, and audit data, each of which can use different storage devices if required.
Specifying Storage Locations for Your Archives
1. Click Add to open the Choose data format dialog box.
2. Under Choose data format, choose from the following:
- Select Standard to create a storage location for Netmail Archive archives (i.e., for data archived by Netmail Archive).
- Select 3.2.x (For conversion only) to create a location pointing to existing GWArchive data which you intend to convert. For more information about migrating your legacy data, see Utility Agent Configuration and Management.
3. Click Next to open the Object Details dialog box.
4. Under Name, enter a name for your location.
Tip: This is the name that will be displayed to users and auditors when they access archive data, thus choose a name which will be of meaning to them. Note that this name will also be used by the indexing service. Therefore, once this name is chosen and the data in this location is indexed, the name should not be changed or the data will need to be re-indexed.
5. Under Description, enter a description for your storage location.
6. Netmail Archive improves storage efficiency with Single Instance Storage (SIS) by saving a single copy of identical attachments. You can enable SIS on a system-wide basis by choosing Global. This means that if you archive the same attachment for multiple users or multiple copies of an identical attachment for one user to this location, only one copy of the attachment will be stored. If you choose Account Level, the feature will only function at the individual user level. For more information about SIS, see Single Instance Storage (SIS).
7. Select the Invisible to regular users option to make the archived data hidden from end users who are not super users. Otherwise, the archived data will be available to regular users via the WebViewer and Netmail Search.
8. Under Archive data store, select the name of one of the storage devices that you defined under Storage Devices, on which you would like to store your archived email messages.
9. Under +, enter the subdirectory path on the selected storage device to which you want the archive data to be written. For example, imagine you had a Storage Device named Archive-Store with a UNC path of \\Server1\Archive-data. If you select an Archive Data store of Archive-store and a + path of Primary, then your archive data will be written to the path \\Server1\Archive-data\Primary.
10. Under Attachment data store, select the name of one of the storage devices that you defined under Storage Devices, on which you would like to store your archived email attachments.
11. Under +, enter the subdirectory path on the selected storage device where you want the attachment data to be written to. For example, imagine you had a Storage Device named Archive-Store with a UNC path of \\Server1\Archive-data. If you select an Attachment Data store of Archive-store and a + path of Atts, then your attachment data will be written to the path \\Server1\Archive-data\Atts.
Important: The Archive Data Store and Attachment Data Store constitute your Static Data Store. Therefore, these paths can point to a CAS device (such as Assureon or Netmail Store), a NetApp device, or a standard file system.
12. Under Audit path, enter the UNC path to the location where you want to store the audit files for the data archived to this storage location and the attachment stubs stored via Single Instance Storage. These items constitute your Dynamic Data Store. Therefore, your audit path can point to a standard file system or a NetApp device, but not to a CAS device. You must enter the full directory path to a file system share where the files will be saved.
The Netmail Archive services must have read/write permissions to access this share. Either ensure that the user account being used to run the Netmail Archive services on your archive servers has this access, or use the User ID and Password fields below to enter valid credentials. Click Test to validate access to your audit path once you have specified any necessary credentials.
Note: It is possible to designate a location for your audit files that is different from where your archived messages will be stored. Using different storage devices for archived messages compared to archived attachments is also possible. These options are provided for both performance and security purposes. For example, in some cases you may wish to store attachments, which are larger and less frequently accessed, on slower, cheaper storage. Alternatively, audit files, which are accessed more frequently, should be stored on faster media, as the data is continuously being accessed and updated. Storing the audit files in a different location also allows the possibility of applying different access rights, although all Netmail Archive access is done through the Netmail Archive services account.
Important: Since the audit files contain an audit trail of record access, comments, and message flagging, it may not be desirable to provide direct access to these files from the XML repository, either because you do not want anybody manually modifying these files or because you may not wish to allow the user to read any comments or review access to their messages. In this instance, the audit files can be saved to another file folder with separate rights applied to protect the files from being modified or viewed.
Warning: In order for Netmail Archive to function properly, it is important that you not delete your audit files. This is true for all versions of Netmail Archive. Netmail recommends that you establish a procedure for backing up your audit files, so that if you accidentally delete them, they can be restored.
13. Under User ID, enter the user ID of an account which has read/write access to the audit path specified using the following syntax: domain name\user ID.
14. Under Password, enter the password for the specified account.
15. Click Add next to the Super users field to select a super user. In the User List dialog box that appears, choose one or multiple super users, then click OK. The selected users will appear in the Super users field.
Note: A super user is a user who has rights to view the entire contents of the storage location over which that user has been designated a super user.
16. Click Save to save your changes.
Note: Netmail Archive does not support the use of Microsoft Windows mapped drives.
Important: When you have finished specifying your locations, click Save. If you do not click Save, your configuration settings will not be saved.
